Professional email for your business: Google, Microsoft or Zoho?
An email address on your own domain (name@yourbusiness.com) makes your messages look professional and helps keep them out of spam. The most common services are Google Workspace (from $7 per user per month on an annual plan), Microsoft 365 (Business Basic, $7 from July 2026) and Zoho Mail (Mail Lite, about $1). Choose based on the tools your team already uses. Whatever you pick, your domain needs three settings, SPF, DKIM and DMARC, so Gmail and Outlook trust your messages.

Key points
- Google Workspace Business Starter costs $7 per user per month on an annual plan or $8.40 month to month, with 30 GB of storage per user.
- Microsoft raised Business Basic from $6 to $7 and Business Standard from $12.50 to $14 on 1 July 2026; Business Premium stayed at $22.
- Zoho Mail Lite starts around $1 per user per month; the free plan (up to 5 users) has no IMAP or POP access.
- Business email compromise cost US victims about $3 billion in 2025, according to the FBI; SPF, DKIM and DMARC make your domain harder to spoof.
An address like bookings@yourcafe.com tells people straight away that the message comes from a business, not from someone with a free account. Here's how to choose a service, what it costs in 2026 and which settings make sure your messages land in the inbox rather than spam.
Why an address on your own domain is worth it
- It looks like a business. Customers trust a message from name@yourbusiness.com more than one from yourbusiness2019@gmail.com.
- The address belongs to the business. When someone leaves, their mailbox stays with you and someone else can take it over.
- It's delivered better. Your domain has settings that prove the message came from you, so spam filters trust it more.
- It's harder to fake. With the right settings, someone sending email in your name gets stopped by the receiving servers.
You need a domain first; if you don't have one, the steps are in how to register a domain name.
The three services compared
| Google Workspace | Microsoft 365 | Zoho Mail | |
|---|---|---|---|
| Starter plan | Business Starter | Business Basic | Mail Lite |
| Price per user per month | $7 annual, $8.40 monthly | $7 from 1 July 2026 | From about $1 |
| Storage | 30 GB per user, pooled | 100 GB mailbox from mid-2026 (was 50 GB) | 5 or 10 GB |
| Next plan up | Business Standard, $14 annual, 2 TB | Business Standard, $14, with desktop Word and Excel | Mail Premium, about $4, 50 GB |
| Included apps | Gmail, Calendar, Drive, Docs, Meet | Outlook, Teams, OneDrive, web Word and Excel | Mail, Calendar, Contacts |
| Good fit if | Your team already uses Gmail and Android | Your team works in Word, Excel and Outlook | You only need email, at the lowest cost |
Prices are US list prices before tax. Google's annual plans lock in the number of licences until renewal; month-to-month plans cost about 20% more but can change any time. Microsoft's new prices apply to existing customers at their first renewal after 1 July 2026, and Business Premium stayed at $22. Zoho's prices vary by country.
How to choose
Choose based on the tools your team already uses. If everyone has Android phones and lives in Gmail, Google Workspace needs no new habits. If the office runs on Excel and Word, Microsoft 365 Business Standard includes the desktop apps. If you just need a few mailboxes for a small business and nothing else, Zoho Mail or your host's mailboxes are enough.
A few things to keep in mind:
- You pay per user, not per address. Shared addresses such as hello@ or bookings@ can be aliases or groups that reach the right people at no extra cost.
- Switching later is possible but takes time. Old mail can be imported, but choosing well up front is simpler.
- Email bundled with hosting is the cheapest, but usually has less storage and weaker spam filtering, and if you change hosts, you move your email too.
SPF, DKIM and DMARC: the settings that keep you out of spam
Since February 2024, Gmail has required everyone sending to its users to set up at least SPF or DKIM, and anyone sending more than 5,000 messages a day to Gmail addresses to have all three, plus one-click unsubscribe. Yahoo introduced the same rules, and Microsoft has enforced them for Outlook.com since May 2025. A small business sends far less than that, but the settings still help delivery and protect you from people sending fake messages in your name.
That protection matters: the FBI's Internet Crime Complaint Center recorded about $3 billion in losses from business email compromise in 2025, scams where criminals pose as a business or its suppliers to redirect payments.
| Setting | What it does | Example, simplified |
|---|---|---|
| SPF | Lists the servers allowed to send email for your domain | v=spf1 include:_spf.google.com ~all |
| DKIM | Signs each message so the recipient can check it wasn't altered | A key generated by your email service |
| DMARC | Tells servers what to do with messages that fail SPF or DKIM | v=DMARC1; p=none; rua=mailto:... |
All three are DNS records, added wherever your domain is managed. Your email service gives you the exact values. One thing people often forget: if your website sends email (a contact form, a booking confirmation) through another service, that service must also be included in SPF and sign with DKIM, or exactly the messages going to customers end up in spam.
The steps, from scratch
- Buy the domain, if you don't have one, in the business's name.
- Choose the service and sign up with your domain.
- Prove you own the domain with a TXT record in DNS.
- Change the MX records so email arrives at the new service.
- Add SPF, DKIM and DMARC.
- Create the users and shared addresses.
- Send a test message to a Gmail address and check, under "Show original", that SPF, DKIM and DMARC say PASS.
When we build a site, we register the domain and set up email on it, with SPF, DKIM and DMARC configured, including for messages sent by the site's forms. The details are on our web design page.
Questions
Can I get a professional email address for free?
Sometimes. Zoho Mail has a free plan for up to 5 users on one domain, though it's region-dependent and only works in Zoho's own apps. Many web hosts also include mailboxes. The trade-offs are storage, spam filtering, phone apps and how easy it is to move later.
How much does a business email address cost?
From free to about $14 per user per month for most small businesses. Google Workspace Business Starter is $7 on an annual plan, Microsoft 365 Business Basic $7 and Zoho Mail Lite about $1. On top of that you pay for the domain, roughly $10 to $23 a year for a .com.
What are SPF, DKIM and DMARC?
Three records in your domain's settings. SPF says which servers may send email for your domain, DKIM signs each message, and DMARC tells receiving servers what to do with messages that fail those checks. Together they help your mail avoid spam folders and make your address harder to fake.
Can I use my domain email in the Gmail app?
Yes. With Google Workspace your address is a Gmail account. With other services, you can add the address to the Gmail or Outlook app on your phone over IMAP, if your plan includes it.
How many email addresses do I need?
One per person who writes to customers, plus a few shared addresses such as bookings@ or hello@. With Google and Microsoft, shared addresses can be aliases or groups at no extra cost.
