ChatGPT for small business: subscription or automation?
A ChatGPT, Claude or Copilot subscription helps a person write, summarise and research faster, but it doesn't do the work inside your business tools by itself. For a team, the business plans are the right fit: ChatGPT Business costs $20 per user per month billed annually ($25 monthly), from two users, and doesn't train on your data by default. When the same task repeats dozens of times a day, such as sorting email or drafting quotes, an automation does it without anyone typing into a chat.

Key points
- ChatGPT Business: $20 per user per month billed annually or $25 monthly, for 2–200 users, with no training on business data by default.
- Claude Team starts at $20 per user per month billed annually, minimum two; Microsoft 365 Copilot Business is $18 until the end of 2026, then $21.
- On individual plans (Free, Go, Plus, Pro), conversations can be used for training unless you turn it off.
- A subscription helps the person typing into the chat; an automation does the same task on its own, every time it comes up.
Plenty of small business owners already use ChatGPT for emails, quotes or social posts. The next question is whether the whole team should get a subscription, and whether AI can take some of the work off your hands entirely. The short answer: a subscription makes a person faster; an automation does the work without the person. Below is the difference, with the plans and prices as of October 2026.
What ChatGPT does well in a small business
- Drafts: emails, quotes, product descriptions, posts, replies to reviews.
- Summaries: a long contract, an email thread, meeting notes.
- Translation and proofreading, such as a reply to a customer abroad.
- Simple data work: cleaning a customer list, spreadsheet formulas, comparing quotes.
- Ideas and structure: what a service page should cover, what customers usually ask.
They have one thing in common: a person writes the request, reads the answer, fixes it and uses it. AI saves time on writing, not on the work itself.
What it doesn't do
- It doesn't work unattended. Someone opens the app, pastes the text and copies the answer. ChatGPT's agent features can take steps in a browser or in connected apps, but a person still starts them and checks the result.
- It doesn't know what's in your systems unless you give it the data or connect it.
- It can be confidently wrong. Prices, deadlines, legal points: anything that reaches a customer needs checking.
- It isn't a system of record. It doesn't track orders, bookings or invoices.
Plans and prices in October 2026
| Plan | Price | Who it's for | Used for training |
|---|---|---|---|
| ChatGPT Free | $0 | Trying it out | Yes, with opt-out |
| ChatGPT Go | $8 a month | One person, light use; may show ads | Yes, with opt-out |
| ChatGPT Plus | $20 a month | One person, daily use | Yes, with opt-out |
| ChatGPT Business | $20 per user per month annually, $25 monthly | Teams of 2–200 | No, by default |
| Claude Pro | $20 a month ($17 annually) | One person | Yes, with opt-out |
| Claude Team | $20 per user per month annually, $25 monthly | Teams of 2–150 | No, by default |
| Microsoft 365 Copilot Business | $18 per user per month annually, down from $21 | Businesses already on Microsoft 365 | No |
ChatGPT Business prices are from OpenAI's help centre, which notes a $5 cut on standard seats from 2 April 2026; the rest come from the ChatGPT, Claude and Microsoft pricing pages. Prices vary by country. Copilot Business is an add-on to a Microsoft 365 plan, and the $18 price is a promotion running to 31 December 2026. Businesses on Google Workspace get Gemini included in their business plans.
Customer data and privacy
On individual plans (Free, Go, Plus, Pro and Claude's equivalents), conversations can be used to train models, with an opt-out in settings. Business plans don't use them by default and come with central admin, single sign-on and a data processing agreement.
In practice:
- Customers' personal data (names, phone numbers, addresses, health or financial details) only on a business plan, only as much as the task needs, and never in employees' personal accounts.
- Trade secrets (supplier prices, contracts) the same.
- A one-page written rule: what goes in and what doesn't, and who checks text before it goes to a customer.
If you serve customers in the EU, that rule also covers the AI literacy duty in the AI Act: The EU AI Act for small businesses.
When a subscription isn't enough
The signal is repetition. If someone pastes an email into ChatGPT 30 times a day to draft a reply, or copies form details into a quote, the work is already the same every time. An automation does it on its own:
| Task | With a subscription | With an automation |
|---|---|---|
| Email replies | Copy the email, ask for a draft, paste it back | The email arrives, a draft appears in Gmail or Outlook, a person checks and sends it |
| Quotes from your website form | Copy the details, ask for the text, make the PDF | The form produces the quote and sends it for approval |
| Incoming invoices | Read them and type the figures in | The figures land in your spreadsheet or accounting software |
| Questions on WhatsApp or chat | Reply from your phone between other jobs | A chatbot answers simple questions and passes the rest to you |
Automations use the same AI models, through the API, paid per use. A short reply from a mid-range model such as Claude Sonnet costs well under a cent. The real cost is building and maintaining the workflow: price ranges in How much does AI automation cost, examples in AI automation examples for small business.
How to choose
- One person, varied tasks: Plus or Claude Pro, with training turned off.
- A team that writes a lot: ChatGPT Business, Claude Team or Copilot, depending on the software you use.
- The same task, many times a day: an automation. Keep the subscription for everything else.
- Customers asking the same things in chat or on the phone: a chatbot or voice assistant that says it's AI from the first message.
We build automations that connect AI models to the email, forms, WhatsApp and software you already use, with a person approving where it matters. The first conversation is free: tell us what repeats in your business and we'll tell you what's worth automating. Details on our AI automation page.
Questions
Which ChatGPT plan is best for a small business?
For a solo owner, Plus ($20 a month) is usually enough, with training turned off in settings. For a team, ChatGPT Business: $20 per user per month billed annually, central admin and no training on business data by default.
Can I put customer data into ChatGPT?
Only on a business plan with a data processing agreement, and only what the task needs. On individual plans, conversations can be used to train models unless you opt out, and privacy laws such as GDPR, HIPAA or state privacy acts still apply.
Is Claude or Copilot better than ChatGPT for business?
It depends on what you already use. Copilot makes sense if you work in Microsoft 365 (Word, Excel, Outlook, Teams), Gemini if you work in Google Workspace, where it's included in business plans. Claude and ChatGPT are standalone apps with similarly priced team plans.
Can ChatGPT reply to customer emails on its own?
Not from the chat app. That takes an automation that reads incoming email, drafts a reply with an AI model and sends it or leaves it as a draft, usually built in n8n, Make or Zapier.
How much does it cost to use AI through an automation instead?
The model itself is cheap: a short reply from a mid-range model such as Claude Sonnet costs well under a cent through the API. Most of the cost is building and maintaining the workflow.
