AI agents for businesses

An AI agent takes a task from start to finish: it reads the request, finds what it needs in your company's software and prepares the reply, the quote or the order. We build it around your processes and decide what it does on its own and what a person approves.

What is an AI agent

An AI agent is a program that uses a language model, such as Claude or GPT, to decide the next step, and has access to tools: email, your calendar, your CRM, a spreadsheet or your invoicing software. A regular automation takes the same steps every time. An agent chooses its steps based on what it receives, so it copes with requests that never look the same.

In more depth, with examples and risks: What is an AI agent, and what can it do for a small business?

What an AI agent can do

  • Quote requests

It reads the request, looks up prices and availability and writes the quote. Someone on your team checks it and sends it.

  • Orders and bookings

It takes the order or booking that comes in by email, chat or WhatsApp, enters it into your software and sends the confirmation.

  • Customer support

It answers from your company's documents and checks on its own where an order is or whether an invoice has been paid. New cases go to a person.

  • Lead qualification

It asks the questions your sales team needs, records the answers in your CRM and passes on the right leads.

  • Research and summaries

It gathers information from documents or public websites and writes a summary, with the source of each point.

  • Follow-ups and reminders

Every day it checks for late orders or unpaid invoices and writes to the customer or the colleague in charge.

Examples by industry

  • Service businesses

    • Quotes prepared from your price list
    • Contracts filled in from the client's details
    • Follow-ups on unanswered requests
  • Online stores

    • Answers to “where is my order”, with tracking
    • Returns logged in your software
    • Stock checked before replying
  • Clinics and salons

    • Appointments checked against the calendar
    • Confirmations and reminders
    • Questions about prices and preparation
  • Distribution and manufacturing

    • Email orders entered into your system
    • Incoming invoices matched to the order
    • A daily report of what shipped

AI agent or automation?

  • Automation

For steps that are always the same: a form comes in, a row is added to a sheet, an email goes out. We build it in n8n or Make.

  • AI agent

For tasks where the steps depend on the request: the agent understands what is asked and chooses which tool to use.

  • Both

Most of the time we combine them: the automation receives the request and takes the steps that never change, the agent handles what needs understanding.

What we work with

We choose the AI model by task and cost. The agent works in the software you already use, through its API.

What's included

An AI agent needs clear rules before it gets access.

  • The agent's role

We write down what it does, what it doesn't do and when it hands over to a person.

  • Access only where needed

The agent only gets access to the software and data its task needs.

  • Approval for important steps

Anything that can't be taken back, such as a quote sent or a message to many customers, waits for someone on your team to approve it.

  • Tests on real cases

We run it on your past requests and compare the result with what your team did.

  • Logs and alerts

You see every step the agent took and find out straight away if something went wrong.

  • Monthly cost

We show you how much the AI model uses, so you know in advance what you'll pay.

How we work

  1. 1

    We talk

You show us the task and how your team does it now. We tell you whether an agent is the right fit or a simple automation is enough. The first conversation is free.

  2. 2

    We write the rules

Together we decide what the agent does, what it can access and what a person approves.

  3. 3

    We build and test

We build it and run it on real requests of yours, with a person checking every result.

  4. 4

    We switch it on

We let it work, watch the logs and adjust it.

Questions

What is an AI agent?

A program that uses a language model to decide the steps of a task on its own, with access to tools such as email, your CRM or your invoicing software. Unlike an automation, it doesn't follow steps written in advance.

What's the difference between an AI agent and a chatbot?

A chatbot answers questions. An agent also does the work: it finds the order, changes it, writes the quote, sends the confirmation. For conversations with customers on your website or WhatsApp we also build AI chatbots.

Can an AI agent make mistakes?

Yes. That's why it only gets access where needed, and anything that can't be undone waits for a person to approve it. The log shows every step, so a mistake is easy to spot and fix.

What data does the agent see?

Only the data in the tools we give it access to, for its task. Through the API, Anthropic and OpenAI do not use submitted data to train their models by default.

How much does an AI agent cost?

The price is set for each project after the first conversation. The build depends on how many tools it connects and how many situations it has to handle. Each month you pay for the AI model by usage, usually a few dollars to a few tens of dollars at a small business's volume, plus any tools. More in How much does AI automation cost for a small business?

Do we have to change the software we use?

No. The agent works in the software you have, through its API. If a tool has no API, we look for another way, such as a data export.

Do we have to tell customers they're talking to an AI?

In the EU, yes: since 2 August 2026, Article 50 of the AI Act requires people to be told they are interacting with an AI system unless it is obvious, and California has a similar rule for bots used in sales. The agent introduces itself as a virtual assistant in its first message.

Who owns the agent?

Your company. Accounts for the AI model and the tools are set up in your company's name, and we hand over the rules and configuration.
